Allianz, a global leader in insurance and financial services, is required to receive a completed UBO (Ultimate Beneficial Owner) form from approximately 15,000 relationships. These forms are then processed in the Sanctions Platform to meet legal requirements and ensure compliance with sanctions regulations.
Organisations are legally required to establish the identity of the UBOs (ultimate beneficial owners) of their relations in order to determine which natural persons are the ultimate beneficial owners of a legal entity.
Because Allianz does not have an e-mail address for every relation and wants to carry out this process as efficiently as possible, FenĂȘtre was asked to digitise the process of requesting the UBO data. This makes collecting the necessary information easier and faster, allowing Allianz to meet the legal requirements without unnecessary administrative burden.
With the Silicon Low Code platform, a secure online portal has been developed, linked to the UBO form. In addition to creating and managing users, Allianz can import Excel files with relations data in the portal. During the import, a unique password is automatically generated for each relationship. This portal is exclusively accessible to Allianz employees, and all relationship data is stored securely encrypted.
When registered data is supplemented or changed during the completion of the UBO form, these changes are immediately visible in the portal. Allianz can easily filter this and export the changed data separately, which makes it possible to update its own systems quickly and efficiently.
The UBO form, developed with Diamond Forms, Flows & Docs, is made available to Allianz relations via a URL. They receive a letter with URL, relation number and the password created via the portal.
To make it as easy as possible for relations to fill in, the imported relation data has been pre-filled as much as possible. The data of all interested parties can be entered in the UBO declaration. The form is available in Dutch and English and can be signed digitally. By signing, the relation promises to pass on any changes.
